Welcome to London Dojo’s website.

London Dojo (hereinafter referred to as “Operator”) is the operator of this website (London Dojo’s website). The Operator is the controller of personal data within the meaning of the UK General Data Protection Regulation (UK GDPR). The Operator decides on the purposes and means of processing personal data and is ultimately responsible for ensuring that the processing takes place in accordance with the applicable data protection law.

I. Preamble

The Operator takes data privacy very seriously and wants to reveal openly and transparently how this topic is dealt with.

When London Dojo’s website is used, the Operator is provided with a set of personal data. Personal data means information which can directly or indirectly be linked to an individual. Examples of personal data we collect include name, address, and email address. Below, the Operator explains to the users of London Dojo’s website (hereinafter referred to as “user” or “users”) how personal data, what kind of personal data and for what purpose personal data is collected, and whom this data may be shared with. Finally, the Operator informs users about their data protection rights, as well as internal rules for data storage.

II. Data collection and processing

The Operator collects personal data that users supply when they fill out London Dojo’s website’s contact form. Also, if users consent to the placement of analytics and performance cookies on their devices, the Operator also collects data about their usage of London Dojo’s website.

1. Data supplied when filling out the contact form

When the contact form is used, personal information about the individual user is needed. This information includes the individual user’s first name, last name, email address, and the content of their message. This information is required to assist users and reply to their messages.

2. Data on usage of London Dojo’s website

When using London Dojo’s website, and if consented by users, the Operator gathers information about their activity within it, that is to say, which services and screens are visited within London Dojo’s website, and how they are used. III. Processing purposes

The Operator processes personal data in order to (1) provide information about London Dojo’s services; (2) improve and develop London Dojo’s website; and (3) identify market trends.

1. Provision of information about London Dojo’s services

When a user contacts London Dojo via London Dojo’s website’s contact form, the personal data set forth in section II.1 above is processed to reply to the relevant message, which is typically related to the services provided by London Dojo.

2. Improvement and further development of London Dojo’s website

The Operator uses personal data to improve its services, for instance, to detect and analyse errors, and generally to try to make the navigation of London Dojo’s website as user-friendly as possible. This includes, for instance, the processing of browsing behaviour within London Dojo’s website in order to understand whether or not certain elements of the website are confusing or require change. Cookies and similar technologies are relied upon to this end. The Operator conducts this type of processing via third-party providers (Squarespace and Google Analytics.

The Operator may inform users about changes to or improvements in London Dojo’s services by sending messages to their e-mail address provided when they fill out the contact form.

3. Identification of market trends

The Operator analyses personal data to understand market trends and ultimately improve, develop and customise London Dojo’s services. Such analysis can be made by the Operator directly or by so called ‘data processors’ (Squarespace and Google Analytics), which analyse the data on behalf of the Operator.

IV. Legal Basis for data processing

With regard to the processing purpose set out in section III.1 above, the Operator processes personal data on the basis necessity for the performance of a contract (which involves the provision of London Dojo’s services).

With regard to the processing purpose set out in Section III.2 and 3 above, the Operator processes personal data on the basis of consent.

Any further data processing not necessary for the aforementioned purposes will be only carried out if necessary for compliance with a legal obligation to which the Operator is subject, or if necessary for the purposes of the legitimate interests pursued by the Operator.

V. Transfer of data

The Operator will not share, transfer or otherwise disclose personal data other than as stated in this Privacy Policy, unless it is required to do so by law or the user has given their explicit consent to do so.

In particular, personal data may be transferred or otherwise disclosed in the following scenarios:

1. Disclosure of personal data to a third party

If there is suspicion of illegal activities in connection with the use of London Dojo’s services, information may be disclosed to the police and other public authorities subject to a court or administrative order. The Operator may share information with other third parties if they can prove an overriding interest in the identity verification of a user as well as in the determination of certain unlawful facts. Further third parties have to substantiate that knowledge of this information is essential evidence for a specific prosecution.

2. Data processors

The Operator collaborates with service providers (Squarespace and Google Analytics) which process data based on its behalf. These service providers, (which are data processors within the meaning of the UK GDPR) process personal data on behalf of the Operator only for the purposes detailed in this Privacy Policy, especially to analyse user behaviour and identify market trends. In accordance with Article 28 UK GDPR, the Operator has entered into data processing agreements with such service providers.

3. Transfer of personal data to a country outside the EU or the EEA

The Operator transfers personal data to a third country, i.e. a country outside the UK, only where the transfer is based on adequacy regulations under section 18 of the Data Protection Act 2018. In all other cases, any transfer of personal data to non-UK countries is made only on the basis of user consent.

VI. Cookies and other technologies

London Dojo’s website uses “cookies” and similar technologies in order to enable all functionalities of London Dojo’s website, and to facilitate the use of the site more generally. Cookies are small text files that allow the Operator to store specific information on users’ devices while they visit London Dojo’s website.

Cookies can be removed from a device at any time. Please note that in this case the display and ease of use of London Dojo’s website may be impaired.

VII. User Rights

1. Right to Information

Users have the right to be informed on whether and if so what personal data about them the Operator processes, and to request a copy of such data. To this end, they can use the contact form available on London Dojo’s website. The Operator will fulfil the request as soon as practicable.

2. Right of rectification, restriction and deletion

Users have the right to rectification, restriction, addition or deletion of personal data. To this end, they can use the contact form available on London Dojo’s website. The request will be processed as soon as practicable. As soon as the rectification, restriction and/or deletion request is completed, users are informed accordingly.

3. Right to object and withdraw consent

Users are in certain cases entitled to object against the processing of personal data concerning them, and to withdraw consent where consent has been given.

The rights to object and to withdraw consent may be exercised directly via the contact form available on London Dojo’s website.

4. Right to data portability

Users have the right to demand the portability of their personal data. To this end, they can use the contact form available on London Dojo’s website. The Operator will fulfil the request as soon as practicable, in accordance with the instructions provided in the request.

5. Right to complaint

Users have the right to lodge a complaint with the UK Information Commissioner’s Office (https://ico.org.uk).

VIII. Duration of storage

Personal data is kept no longer than necessary to satisfy the purpose of the relevant processing. Personal data is deleted when it is no longer relevant for the purposes for which it has been collected. The Operator will, for example, retain personal data as long as the user maintain a contractual relationship with London Dojo, until the user revokes his/her consent according to section VII.3 above, or as otherwise necessary to comply with applicable laws.
